A small purchasing routine beats a complicated setup
For a one-person business, a simple routine may be enough: keep a short replenishment list, review it on one day, and save the resulting receipts in a consistent folder. Add approval rules only when other people or larger amounts make them useful.
Name receipts in a way you can find later, such as date, supplier and project. Include the actual transaction information in your records rather than treating an account label as proof of why a purchase was made. Ask your bookkeeper how they prefer to receive those documents.
Keep the comparison fair
A case of twelve and a box of ten can look similar in search results. Compare cost per usable unit, the delivery date you need and whether you have storage for the quantity. A bulk order is not a saving if most of it sits unused.
